Getting Started with Smartlead.ai Campaigns

With Topa.io, you can connect your SmartLead email campaigns directly to Topa and automatically send AI-generated voicemails and SMS messages to your prospects. This helps you 5X–10X your reply rates by combining email + voicemail + SMS follow-ups. Follow the steps below to set up your SmartLead campaign.

Step 1 — Create a New Smartlead Campaign

From your Topa.io dashboard, click Create New Campaign.

Select SmartLead Campaign.

Optional settings:

  • Daily Voicemail Limit
    Apply a limit to control how many voicemails are sent every 24 hours.

  • Voicemail Timing
    You can choose whether voicemails are sent:

    • Only on the first email in your Smartlead sequence

    • Or on multiple steps in the sequence.


Step 2 — Enter Campaign Details

Fill in the required fields:

  • Campaign Name

  • Send Number

  • AI Voice

Click Test to preview the AI voice.

Tip

Use punctuation such as ! … or - to improve clarity and pacing of the AI-generated voicemail.


Step 3 — Generate Part 2 of Your Message

Voicemails are built using two message parts.

Before continuing, you must generate Part 2 of the voicemail.

  1. Click Generate.

  2. Listen to the audio preview.

  3. Confirm that names and wording are pronounced correctly.

If needed:

  • Adjust the wording

  • Add punctuation

  • Regenerate the audio

Repeat until the voicemail sounds natural.


Step 4 — (Optional) Enable SMS Follow-Up

If your Twilio number is SMS-enabled:

  1. Toggle Send SMS.

  2. Enter your SMS message.

You can use the same personalization variables as the voicemail.

Available variables include:

  • {name}

  • {company}

Example SMS:

Hi {name}, I just left you a quick voicemail about the email I sent. Feel free to reply here if that's easier.


Step 5 — Add Additional Campaign Steps (Optional)

By default, the first step will trigger:

  • A voicemail

  • An SMS message (if enabled)

This happens when the first email is sent from your Smartlead campaign.

You can also add additional steps if you want voicemail and SMS follow-ups later in your sequence.

Topa allows up to 10 campaign steps.

This enables a full multi-channel outreach sequence across:

  • Email

  • Voicemail

  • SMS


Step 6 — (Optional) Add a Campaign Webhook

If you want to receive voicemail and SMS delivery results through a webhook, you can enable this feature.

Step 7 — Create the Campaign and Copy Your Webhook URL

  1. Click Create Campaign.

  2. Copy the Webhook URL shown on the confirmation screen.

You will paste this URL inside Smartlead in the next step.


Step 8 — Connect Topa.io to Smartlead.ai

Inside Smartlead.ai:

  1. Go to Settings → Webhooks.

  2. Click Add Webhook.

  3. Paste the Webhook URL from Topa.io.

  4. Select the Smartlead campaign you want to connect.

  5. Set Event Type to Email Sent.

  6. Click Add or Save.

Topa.io will now automatically trigger voicemails and SMS messages when emails are sent from your Smartlead campaign.


Step 9 — Manage Leads and Conversations in Topa

Once the integration is active, Topa can automatically:

  • Enrich leads with B2B cellphone numbers

  • Deliver voicemails

  • Send SMS messages

You can manage all activity inside the Topa Inbox, where you can:

  • Reply to SMS conversations

  • Send additional voicemails

  • Continue conversations with prospects

Topa also includes a mini CRM, allowing you to:

  • Add notes

  • Assign owners

  • Update lead statuses

  • Manage blacklist entries

You can also enrich additional B2B contacts and push them into the inbox to start SMS conversations.


Step 10 — (Optional) Provide White-Label Access to Clients or Staff

You can provide white-label logins for team members or agency clients.

From their login, users can view:

  • Delivered voicemail records

  • SMS delivery results

  • Inbox conversations with leads

  • Enriched cellphone numbers

Users can also:

  • Reply to SMS messages

  • Send voicemails

  • Manage blacklist entries

  • Assign leads or update statuses

The white-label dashboard contains no Topa branding, allowing agencies to provide campaign visibility to clients without exposing the Topa platform.
