Whitelabel / Staff Users

Topa allows you to create multiple user logins, organize users into groups, and control what data and pages each user can access. This is commonly used by agencies and teams that want to separate data between clients, departments, or sales teams while providing a white-label experience. Users can log in through either: The standard Topa login domain A white-label domain with no Topa branding You can also upload your own logo so the dashboard appears fully branded for your organization or clients.

Step 1 — Create a User Group

Before creating users, set up a User Group.

User groups organize users and control how leads and data are shared inside the platform.

Example User Groups

You might create groups for:

  • Individual agency clients

  • Your internal sales team

  • Different departments

How User Groups Work

Leads added or enriched by users are shared only with other users inside the same user group.

This applies to leads created through:

  • Manual lead entry

  • B2B cellphone enrichment

Users can also only assign leads in the mini CRM to other users within their own user group.

This keeps data separated between different teams or clients.


Step 2 — Create a New User

From your Topa dashboard:

  1. Click New User.

  2. Enter the user’s email address.

  3. Click Generate Password to create login credentials.

  4. Assign the user to the appropriate User Group.

The user will only have access to leads and data within their assigned group.


Step 3 — Assign a Default Phone Number

When creating a user, you can assign a default phone number.

This number will be used when the user:

  • Sends SMS messages

  • Sends voicemails

  • Creates leads in the inbox

Using dedicated numbers prevents overlap between different clients, teams, or campaigns.


Step 4 — Upload Your Logo (White-Label Branding)

You can customize the user dashboard by adding branding.

Options include:

  • Uploading a new logo

  • Selecting an existing logo from your logo library

The logo will appear on the dashboard when users log in through your white-label domain.


Step 5 — Set Page Permissions

You can control which areas of the platform each user can access.

Available permissions include:

  • Enrichment

  • Inbox

  • Voicemail Records

  • Blacklist

  • Campaigns (read-only view)

This allows you to limit access based on the user’s role.

For example:

  • Sales reps may access Inbox and Enrichment

  • Clients may only view Campaign results


Step 6 — Choose Campaign Visibility

You can also select which campaigns a user can view.

This determines what data they can see in areas such as:

  • Inbox conversations

  • Campaign results

  • Lead activity

Users will only see data from the campaigns assigned to them.

This is useful for agencies that want clients to view only their own campaigns.


Step 7 — Create the User

Once everything is configured:

  1. Click Create User.

  2. Copy the login credentials.

  3. Send the login details to the user.


White-Label Login Experience

When users log in through your white-label domain:

  • No Topa branding appears

  • Your uploaded logo is displayed

  • The platform appears fully branded for your organization
